Concord has an opportunity for an expertly organized administrator to join our team as Project Administrator. The Project Administrator handles the administrative functions of Concord’s construction projects by overseeing all project procedures and processes in the Construction Management system are followed. Reporting directly to the Senior Vice President, Construction and taking daily direction from the Lead Project Administrator and Construction Managers, the Project Administrator assists with all administration functions and processes related to our construction projects.
The key duties and responsibilities include:
Support Project Administration - 80%
- Attend projects transition meetings and collect information related to project turn-over.
- Assist with project documentation setup within the construction management platform.
- Assist with or resolve general project administration inquiries from field staff and management.
- Collaborate with Construction Managers, Construction Supervisors and Accounting staff to ensure all project documentation is accurate and up-to-date throughout the life of the project including:
- Distributing Proposed Change Notices, Site Instructions and Clarifications to subtrades for pricing with due dates.
- Preparing, organizing and distributing Potential Change Orders (PCO), Change Orders, and meeting minutes.
- Creating and processing purchase orders and change orders.
- Maintaining and monitoring records of Submittals, Requests for Information (RFIs), Inspection Reports & Tests
- Collect and compile product information for Operation & Maintenance Manuals and As-Built drawings including hard copy and electronic versions.
- Review and distribute all project meeting minutes.
- Manage electronic filing of safety documentation from subcontractors and jobsite.
Lead Concord's use and adoption of Procore - 15%:
- Orient and train new hires and current staff in the construction management software.
- Troubleshoot construction management software issues with staff and liaise with the vendor contact to resolve issues.
- Participate in the quarterly Procore Committee meetings to review process and procedures and implement new if required.
- Maintain relationship with Procore representative to learn about new features and share feedback.
General Administrative support - 5%:
- Relieve the Administrative Assistant at the reception desk on a rotational basis.
- Other duties as assigned by the Lead Project Administrator, or Senior Vice President, Construction.
Job Requirements
- Minimum two years' administrative/coordinator experience required, construction industry experience preferred
- Strong Microsoft Office 365 applications user including Excel, Word, Outlook, Teams
- Some experience with information management systems, Procore experience considered an asset
- Ability to work independently and as part of a team
- Demonstrated time management skills and the ability to identify and action priorities
- Detail-oriented
- Demonstrated ability to adapt to changing environment and timelines
- Strong written communication skills, able to edit and review others’ notes and meeting minutes and compose clear emails
- Capable internal service provider experienced at troubleshooting and collaborating
